Step 3: The install progress
If you agree to the product EULA, the Axigen Outlook Connector will be installed. A new wizard window will show the performed actions and the installation progress bar. You can click "Cancel" to quit the install process at anytime.

Step 4: Completing the installation
If the installation is successful you will be presented with the screen below. To exit the setup wizard, click "Finish". Check the related boxes if you wish to view the "README file" or open the "Add Outlook profile" wizard, after the Axigen Outlook Connector wizard is closed.

Installation wizard: the connector is already installed on the computer
Step 1: Connector description
To run the wizard, double-click the "Axiolk" executable file. Click the "Next" button from the wizard welcome window to choose the modifications you wish to make to the existing Axigen Outlook Connector.

Step 2: Repair / Remove the installed version
The second wizard screen will prompt you with the available options for the Axiolk version installed on your computer:
- Repair - fix errors, missing or corrupt files and registry entries corresponding to the latest Axiolk installation;
- Remove - remove the installed Axigen Outlook Connector from your local computer.

If "Repair" is selected
Step 3: Repair
In the next repair wizard screen you will be asked to click the "Repair" button if you wish to start the Axiolk installation repair process or use the "Back" button to return to the previous wizard screen. You can also choose "Cancel" to completely exit the installation wizard.

Step 4: Completing the installation
After the repair process is successfully done you will be presented with the final wizard screen. Click "Finish" to end the repair process.

If "Remove" is selected
Step 3: Remove
In the next Remove wizard screen you will be asked to click the "Remove" button if you wish to completely uninstall the Axigen Outlook Connector or the "Back" button if you wish to return to the previous wizard screen. You can also choose "Cancel" to completely exit the setup wizard.

Step 4: Completing the installation
After the uninstall process is successfully done you will be presented with the final wizard screen. Click "Finish" to end the uninstall wizard.

Configuring Outlook to work with the Axigen connector
After running the setup wizard, you will have to configure the MS Outlook email client for communicating with the Axigen mail server via the Axigen Outlook Connector. To do so, please follow the steps below:
1. Add a new Outlook profile, if you don't have one:
1.1 Go to "Start" -> "Control Panel" -> "Mail";

1.2 Select "Show Profiles" -> "Add...", to add a name for your new profile, and then press "OK"; the "Add New Account" wizard window will appear, guiding you through the process.
2. Add a new account to the profile you have just added:
2.1 Select "E-mail Accounts" (from the first window of the Mail applet) and click the "New..." icon to add a new email account.

2.2 For Outlook 2010: After selecting the desired service (in this case: "E-mail Account") from the "Choose Service" window, click "Next", select the "Manually configure server settings or additional server types" option from the "Auto Account Setup" dialog window and click "Next" again. In the "Choose E-mail Service" window, select "Other" and choose "Axigen Mail Server".
For Outlook 2007: Select "E-mail Account" from the "Choose Service" window -> click "Next" -> select the "Manually configure server settings or additional server types" option from the "E-mail Accounts" dialog window -> click "Next". In the "Choose E-mail Service" window, select "Other" and choose "Axigen Mail Server".

For Outlook 2003: In the "E-mail Accounts" dialog -> "Server Type" section, choose "Additional Server Types". Then, in the "Additional Server Types" section, choose "Axigen Mail Server".
3. Fill all required settings for the "Axigen Outlook Connector" service:

3.1 Fill in the "Server Name" field with the IP or the name of the Axigen mail server. If you do not have the required information, please contact your system administrator for more details.
3.2 Fill in the "IMAP Port" field, with the port on which the IMAP service is listening (the standard value here is: 143). If the Axigen server uses IMAP over SSL (port 993), simply check the box related to the "Use SSL" option to enable the use of SSL communication for your Axiolk profile. If you do not have the required information, please contact your system administrator for more details.
3.3 Enable the "Windows Native (kerberos)" option so the connector will use the credentials of the logged in user to authenticate to the Axigen account (if the server is configured to allow this type of authentication). Enabling this option disables the account name and password fields since the current user credentials from the kerberos ticket will be used.
3.4 Fill in the "Account Name" and "Password" fields with the account name and password provided by your mail server administrator.
3.5 Check the "Use secure authentication" option to instruct the Connector to use secured authentication methods. If the server is not configured to allow this type of authentication, enabling this option will yield login failure.

3.6 Use the "Remember Password" option so you won't have to type it every time you open Outlook.
3.7 Starting with Axigen 7.4.0 you can also edit the contact information for your account by clicking the "Edit Contact Information..." button.

3.8 If you wish to use, at a certain point, the offline working mode for your Outlook client, check the box related to the "Use cached working mode" option and select the caching level from the drop-down box. This will allow Axiolk to use a local .pst file to keep your profile data, perform regular access operations using the local cache file, thus improving the general performance of your email client. To keep the local cache synchronized with the account data on the Axigen server, the Axigen Outlook Connector will start a periodic synchronization process, based on the timer set via the "Attempt a synchronization every _ minutes" parameter.
3.9 Click the "Check Account..." button to verify that the details you have entered are correct and complete, and that your account is working properly.

4. Start Outlook and select the profile name you have added at step 1, from the "Choose Profile" dialog.
Setting server side rules
To access the server side rules wizard go to "Tools" -> "Axigen Outlook Connector" -> "Server Side Rules..." (or, for Outlook 2010, in the "Axigen Outlook Connector" tab choose "Server Side Rules"). In this section you can easily create a filtering system to manage your email flow.

When first accessing the "Axigen Mail Server Rules" window, a list of the already defined filters is displayed. If no filter has been previously set, then the list will be blank.
The screenshot below depicts the Axiolk server side rules view, containing entries related to:
1. Anti-spam slider settings:
- WM_AntiSpam_Not_Whitelist_Threshold_Spam
- WM_AntiSpam_Not_Whitelist_Threshold_Delete
2. Identity Confirmation:
- WM_AntiSpam_Not_Whitelist_IC_Spam
- WM_AntiSpam_Not_Whitelist_IC_Add
3. "Out of office autoresponder":
- ASYNC_WM_VACATION

If the related options are enabled, those filters will appear in the list and they cannot be deleted or edited. The settings for these filters should only be modified via the corresponding options from the Ajax WebMail interface.
If you attempt to access these rules, a pop-up will be displayed, warning you that the settings cannot be modified and that you need to access the Ajax WebMail interface to perform any changes.

Managing existing rules
To edit or delete an existing filter select it and use the "Edit" or "Delete" buttons. Change priorities between filters by selecting them and using the "Up" and "Down" buttons. The priorities are also shown in the "Priority" column, on the left side.

When selecting a rule, the existing parameters of that filter are displayed in the "Rule description" section.

When you select an existing rule and click "Edit", the rule editor wizard will appear, having the conditions, actions and name fields already completed with the existing data of that particular filter. Follow the wizard steps to customize the rule to match your new requirements.
Editing / creating a rule
Click the "New" button to create a new filter. Whether creating a new filter or editing an existing one, the options displayed are the same.
"+" Add Criteria / Actions - use this icon to add a new criterion and/or a new action;
"-" Remove Criteria / Actions - use this icon to remove one of the previously created criteria and/or actions.
There are three wizard sections when creating / editing a rule:
1. Choose what conditions should the messages meet for the filter to apply.

2. Define the actions to be taken (i.e. moving, copying, deleting, etc.) if an email message matches the previously specified criteria.

3. Enter the rule's name and select if you wish to have the rule enabled or disabled after completing the wizard.

Click the "Finish" button once you are done creating/editing the rule.
Add conditions / edit condition operators and criteria
Select what conditions should the messages meet for the filter to apply.

To add the desired condition, simply click the "+" (plus) icon corresponding to the entry you wish to add.
Available options include setting conditions relative to the following:
1. Subject - the email's "Subject" field;
2. From - the sender address;
3. To - the recipient address;
4. Cc - the addresses found in the "CC" header for an email;
5. To or CC - matches addresses found both in the "To" and "CC" headers;
- Contains - the rule test string is contained in any part of the searched field;
- Does not contain - the rule test string is not contained in any part of the searched field;
- Matches - a wildcard match using the characters "*" and "?" ("*" matches zero or more characters and "?" matches a single character);
- Does not match - negate a wildcard match using the characters "*" and "?" ("*" matches zero or more characters and "?" matches a single character);
- Is - the rule test string is absolutely the same as the contents of the searched field;
- Is not - the rule test string is not absolutely the same as the contents of the searched field;
- Begins with - the rule test string is at the beginning of the searched field;
- Does not begin with - the rule test string is not at the beginning of the searched field;
- Ends with - the rule test string is at the end of the searched field;
- Does not end with - the rule test string is not at the end of the searched field.
6. Body - the email content;
Options:
- Contains - the rule test string is contained in any part of the searched field;
- Does not contain - the rule test string is not contained in any part of the searched field.
7. Size - the email message size;
Options:
- Is greater than - tests if the size of an email is greater than the rule test value;
- Is lower than - tests if the size of an email is lower than the rule test value.
8. Date - the received date of the email message;
Options:
- Is greater than - tests if the date of an email is greater (after) than the rule test value;
- Is lower than - tests if the date of an email is lower (before) than the rule test value.
9. Custom - match other custom defined headers;
For the "Custom" condition you can enter the desired header name and choose the compare option and content.
Next, select if the filtered messages should match all or any of the defined criteria via the related radio buttons.
In the second window section, edit the conditions previously selected by clicking an underlined value. After clicking the parameter you wish to set, a new window will appear, allowing you to enter the desired parameter value. Left-click on the corresponding "-" (minus) icon if you wish to remove a condition.

Click the "Cancel" or the "Next" button to quit/continue editing the filter.
Add actions / edit action operators and criteria
Further define the actions to be taken (i.e. moving, copying, deleting or redirecting it to a certain email address etc.) if an email message matches the previously specified criteria. Select the desired option by clicking the "+" (plus) icon from the actions list.

In the second window section, edit the selected actions by clicking an underlined value. After clicking the parameter you wish to set, a new window will appear, allowing you to enter the desired parameter value.
For the "Move to" or "Copy to" actions you have a parameter, which when clicked, allows you to choose the destination folder of a message that matches the conditions of the filter.

If you choose the "Delete" action, the message that will match the filter conditions will be delivered to Trash.
When using the "Discard" option, the message will be rejected. However, no refusal (NDR) message will be returned to the sender.
If you choose the "Forward to" action, then you will be able to:
- set the destination address for the forwarded message via the "Email" parameter;
- set the content that will be added to the original email via the "Message" parameter;
- choose if the original message will be forwarded in-line or as an attachment (by checking the box related to the "Forward as attachment" option).

For the "Redirect to" action you can choose the destination account where the message will be relayed.

When using the "Respond" action, an automatic reply will be sent to the email messages matching the defined filter. Use the "Subject" and the "Message" fields to define the subject and body of the email response to be sent. You can also set the "Days between subsequent responses" option and the "Additional own email addresses" (this setting will use the same responder for other recipient addresses you may have - when you receive an email with a different "To" address then your account name) options by editing their corresponding fields. An example of these settings are presented in the next screenshot.

If you wish to change the subject for specific incoming emails, use the "Change subject" action. This will allow you to append or prepend a text to the original email subject.

Click the "Cancel" / "Next" button to quit / continue editing the filter or the "Back" button to return to the conditions window.
Specify rule's name / enable rule / review the rule
Finally use the "Name" text field to specify a name for the currently defined filter and enable it by checking the "Turn on this rule" option.

In the next section you can review the rule description to make sure it is defined correctly. All parameters are directly editable from the review section. Click the required one to open the parameter edit window.

After you are done setting up the rule click the "Finish" button.
Editing account information
Starting with Axigen 7.4.0 you can also edit the contact information for your account by going to "Tools" -> "Axigen Outlook Connector" -> "Edit Contact Information" (or, for Outlook 2010, in the "Axigen Outlook Connector" tab choose "Edit Contact Information").

Changing the password
If you wish to change your account password go to "Tools" -> "Axigen Outlook Connector" -> "Change Password" (or, for Outlook 2010, in the "Axigen Outlook Connector" tab choose "Change Password"), enter your old password and the desired new one. Enter the same new password in the "Confirm new password" field.

If your new password does not meet the policies set by your administrator, you will be presented with an error pop-up.

Please contact your domain administrator to find out more information on the password policy implemented for your account.
Sharing folders
For sharing permissions of a specific folder, go to the tree folder on the left, right-click on the folder you wish to set permissions on, choose "Sharing" or "Axigen folder properties...".

From the new window select the "Folder permissions" tab. When accessing this tab for a folder, a list of the already defined permissions is displayed. If no permission has been previously set, the list will be blank.
Managing existing permissions
When accessing the "Folder permissions" tab (right-click on folder -> "Sharing" or "Axigen folder properties..."), if you have previously defined sharing permissions for a user, you can modify the settings by selecting the desired entry in the permissions table and clicking the "Edit" button.

After selecting "Edit", the "Change permissions for user" window will appear, allowing you to make the required modifications to the sharing access permissions.

Each permission may be allowed explicitly, denied explicitly or not specified. In the "Effective permissions" tab you will be able to see what permissions are specifically allowed or not.

Effective permissions are displayed only for already saved permissions, so changes won't be reflected until saving. The "Effective Permissions" tab will only display the relevant permissions after you select a user/group and it will only show updated permissions after you save your settings.
In the "Permissions for user" section, edit the desired account name you wish to set sharing permissions for. The "Select user" button can be used to search the address-book for accounts or groups.
To allow or deny a specific access permission, simply check the "Allow" or "Deny" box, related to the permission entry in the "Permissions" tab.

Adding user permissions on a folder
If you wish to add access permissions for a user then right-click on a folder from the folder tree, select "Sharing" or "Axigen folder properties..." and go to the "Folder permissions" tab. Here click the "Add" button, to open the add permissions wizard.

Check the "Apply to subfolders" option so the permissions set for the current folder will be automatically applied to its sub-folders.
Add / select the user(s) with permission rights
After you click the "Add" button you can add a user or a group of users and set the permission level on the selected folder.

When the "Select user" button is clicked, the "Address Book" window is opened, which can be used to search the contact folders, that are part of your address-book, for accounts or groups.

To set the permission level for the selected user / group, there are 6 levels to choose from:
- No access (all permissions are denied);
- Viewer (view and read folder is allowed);
- Contributor (view, read folder and add items is allowed);
- Editor (view, read folder, set/clear flags, add items, mark items as deleted/not deleted and expunge is allowed);
- Master (all permissions are allowed);
- Custom (each permission is defined individually according to your needs).
When selecting one of the predefined levels, the corresponding permission's "Allow" check-box will be automatically marked.
The Viewer level will enable the "Read items" permission, which allows a user to view and read the folder content. You can see the "Read items" sub-permissions by clicking the "Details" button.

Beside the actions corresponding to the "Read items" and "Add items" permissions, which are described above, the user will be able to modify flags other than read / unread and deleted / not deleted (does not apply for contacts, calendar, tasks, journal and notes folders) which corresponds to the "Set/clear flags" permission. Also the "Delete items" permission allows the user to mark items as deleted / not deleted and permanently delete (expunge) the folder content. Use the "Details" button to see the "Delete items" sub-permissions.

Check effective permissions
Each permission may be allowed explicitly, denied explicitly or not specified. Permissions act hierarchically (are inherited on the group hierarchy). Additionally, resource hierarchies (a folder being parent to another folder) also benefit from the inheritance algorithm. In the "Effective permissions" tab you will be able to see what permissions are specifically allowed or not.

Using the "My Rights" option
You can use the "My Rights" button to display your user's permissions for the selected folder. For your mailbox folders you will have all permissions allowed.

When you will use the "My Rights" button for a public folder or for another user's shared folders, you will see the exact permissions that you have been assigned by the administrator (for public folders) or by the shared folder's owner.

Managing subscriptions to other user's folders
While using the Axigen Outlook Connector you are able to subscribe or unsubscribe to other user's shared folders. Please consult the below sections for the appropriate steps:
Open other user's folders
To have access to folders shared by other users go to "Tools" -> "Axigen Outlook Connector" -> "Open other user's folders..." (or, in Outlook 2010, in the "Axigen Outlook Connector" tab choose "Open other user's folders"), or right-click on a folder in the folder tree and choose the "Open other user folders..." option from the contextual menu.

A warning will pop-up asking you to allow access to the email addresses stored in Outlook, check the "Allow access for" option, choose the desired time interval from the drop-down menu and click "Yes".
Select user from Address Book
After selecting the "Open other user's folders" and allow the required access, the address book will open and you will be able to select from the list or type the address of the user whose folder you wish to subscribe to.

A folder with the respective user's name will appear in the "Other users' folders" section of your folder tree:

Expand it, using the "+"(plus) icon to view a list of the available folders for that user. If you have shared folders opened for more users, you will have a corresponding sub-folder for each of the user accounts.

Close other user's folders
If you do not wish to see the folders shared by a certain user anymore close them by going to "Tools" -> "Axigen Outlook Connector" -> "Close user folders..." (or, in Outlook 2010, in the "Axigen Outlook Connector" tab choose "Close user folders"), or right-click on a folder in the folder tree that belongs to the desired user and choose the "Close user folders..."

You can close other user's folders from the contextual menu: in the new window (that will pop-up), select the required user's name and click "OK".

Managing global permissions
To access the global permissions wizard go to "Tools" -> "Axigen Outlook Connector" -> "Manage Global Permissions" (or, in Outlook 2010, in the "Axigen Outlook Connector" tab choose "Manage Global Permissions").

Starting with version 7.4.0, the "Allow all users to view my availability" options is included. When this is enabled, all users in your domain will be able to see your availability (free/busy) status, for example when trying to invite you to a meeting (calendar event). Also when adding or editing global permissions, the "Read my free/busy status" entry will be enabled and grayed out (not editable).

In the "Manage Global Permissions" window, a list of users for which you have permissions defined is displayed. Each user's permissions can be deleted or modified by selecting it and using the "Delete" or "Edit" buttons.

Adding global permissions to a user
Add / select the user(s) with permission rights
To add a user to the list click the "Add" button. In the new window click the "Select user" button to open the address book and choose a contact.

Select the permission level
In the "Permissions" tab you can allow or deny the previously selected user/group, to read your free/busy status or send emails in your name.

Below the mentioned options you can set the mailbox permissions. The sharing access level you set in this section, will apply for all your mailbox content.
To set the permission level for the selected user/group, there are 6 levels to choose from:
- No access (all permissions are denied);
- Viewer (view and read folder is allowed);
- Contributor (view, read folder and add items is allowed);
- Editor (view, read folder, set/clear flags, add items, mark items as deleted/not deleted and expunge is allowed);
- Master (all permissions are allowed);
- Custom (each permission is defined individually according to your needs).
When selecting one of the predefined levels, the corresponding permission's "Allow" check-box will be automatically marked.

Check effective permissions
In the "Effective Permissions" tab you will be able to see what permissions are specifically allowed or not. Note that for the effective permissions to reflect any current changes you make, you must first save the permission settings modifications and then re-open the folder permissions and check the "Effective Permissions" tab for the relevant details.

Working in offline mode
The Axigen Outlook Connector supports working in offline mode, meaning that you don't have to be connected to the server in order to access and manage emails, contacts or groupware and collaboration items (calendar, tasks, notes, journal entries etc) from MS Outlook.
The "Work online / Work offline" button has the same functionality as with any email client:
- if connection to the server is present:
- if you set "work offline" - no more synchronization is performed;
- if you set "work online" - synchronization is performed;
- if connection to the server is lost:
- Outlook enters in "work online - not connected" and retries to connect (sync) until the connection is up;
- if you set "work offline" - no more synchronization is performed.
All changes performed in offline mode are automatically synchronized with the Axigen mail server once the access to the network is restored.
Axigen Outlook Connector System Tray
Starting with version 7.5.0, the Axigen Outlook Connector is able to show notification messages through informational balloons regarding its activity (such as server connection status changes, synchronization statuses, quota information or password expiration warnings), via a System Tray application.
Installing the System Tray application
The Axigen Outlook Connector System Tray application is installed after the Axigen Outlook Connector has been completely set up. You do not need to perform any actions, this is done automatically, since the System Tray application is included in the Outlook Connector installation kit.
After completing the install process, each time the Axigen profile in Outlook is loaded, the System Tray application is automatically opened. When the Outlook email client is closed, or the profile is changed, the System Tray application closes.
When the System Tray application is running, an Axigen icon appears in the System Tray area on the MS Window task bar. The icon has two states:
- not working (static)

- working (animated): this icon appears anytime there is a running process on the server (such as synchronization or filter running)
You can right-click at anytime on the icon to see the contextual menu:

Setting notification preferences
A contextual menu appears when right-clicking the System Tray application's icon in the task bar:
- Notifications preferences (opens the Notifications preferences window, described in the specific section below);
- Quota information (opens the "Quota information" window in Outlook);
- About (opens the "About" window installed by the already implemented Axigen connector).

When accessing the "Notification preferences" menu option, you can select to:
- "Display system tray notifications"; this option is checked by default (if this is unchecked, than all the next options are disabled);
- receive notifications about "Server connection status changes", meaning if:
- the connection lost;
- the connection is working;
- receive notifications about "Synchronization statuses", applicable when:
- synchronizing folders;
- synchronizing folders' structure;
- synchronizing folders' proprieties;
- receive notifications about "Quota warnings" after logging in, if the following situations occur:
- the quota is over 90%;
- the quota is exceeded;
- receive notifications about "Password expiration warnings" after logging in, whether:
- you can change your password;
- you cannot change your password (and you need to contact your system administrator for this).
All notifications have corresponding informational balloons.
Informational balloons
The informational balloons are displayed as follows:
1. The balloon appears for any new notification message (according to the types of notifications that are configured in the "Notification Preferences" window).
2. The balloon remains displayed on the screen for the number of seconds configured in Vista's (or later Windows version) system accessibility settings (or, if a prior OS version is used, the parameter is set to 10s). You can choose to close it faster by clicking on the "[x]" button.
3. At anytime while the icon is in the working state, if clicked, the information balloon appears showing the last displayed message, but having the information updated (e.g.: synchronization status).
The informational balloons are displayed using the default skinning of the Informational Balloons, depending on your theme and Windows version.

Updating the Axigen Outlook Connector
To reduce time spent on administration, starting with version 7.6.0, Axigen also enables the automatic update of the Axigen Outlook Connector on end users' work stations. Thanks to a newly-introduced command in the IMAP extension protocol used by the connector upgrade process, new Outlook Connector versions are automatically downloaded and installed on your desktop, while keeping, if applicable, connector branding details.
Performing the upgrade
Each time Outlook is opened using the Axigen Outlook Connector, a check will be made of the version for both the connector and the upgrade application. If no newer version is available, nothing happens.
If a newer version is available:
1. The connector must be upgraded
For this upgrade, the Outlook application must be closed. A confirmation window appears and you can choose to upgrade the connector now or the next time you close Outlook.

Click "OK" to start the upgrade:
- for Windows Vista / 7 OS, a window that asks for permissions appears and, if necessary, a password is entered. Then, Outlook closes and the connector upgrade starts.
- for earlier versions of Windows, Outlook simply closes and the upgrade starts.

After running the upgrade, an informational window appears:
- "Success Window" - in case the upgrade went successfully; this includes an option (checked by default) for re-opening Outlook.

- "Error Window" - in case errors occurred

If you choose "Cancel", the upgrade will be made the next time you close Outlook, following all the steps presented above.
2. The upgrade application must be updated
For this upgrade, Outlook can remain opened. An informational window appears and announces you about the upgrade. After clicking "OK", the upgrade starts. If necessary (Windows Vista / 7 OS), permissions are asked.
